Order Processing
The Order Marshal is designed to allow easy input and rapid processing of your orders.
Order entry: The Order Marshal eliminates frequent manual mistakes and insures date integrity through interactive editing. Orders may be either entered on-line when the customer places an order or batch directly to the system. A mailing label can be automatically generated when a customer requests product information.
Products which are ordered individually, but actually make up a product group or "kit", can be combined into the respective product group or "kit" automatically.
Telemarketer order from areas within selected zip codes can be placed on hold, if there are problems with orders received from those areas.
In order to maintain a good data base, customer duplication edits are performed and a listing is provided of possible customer duplications. Duplicate customer records and related order, including history records, are easily merged into a single customer record.
Order pricing: In order to provide the customer with immediate price, quantity and total information, amounts are calculated automatically during order entry. An order total includes the sum of the prices of the individual products ordered, plus the appropriate shipping and handling charge. Quantity discounting is available by products. You can also discount a flat dollar or percentage for individual customers.
Sales tax is included on orders where sales tax is applicable, according to the customer’s zip code.
Shipping destination: In order to accommodate individual shipping destinations, orders may be shipped to the customer’s address or to a different "ship to" name and address. Foreign addresses are accepted as valid shipping destinations.
Payment Processing
The Order Marshal is designed to quickly access and maintain payment from your customer.
Payments: The Order Marshal facilitates rapid processing of multiple payment methods. Any number of payment types you choose to accept are maintained and controlled within the system. Designated payment types may be restricted for use with specific products, if necessary.
Credit cards: Credit card orders are conveniently transmitted to your bank for approval, with the optional credit Card Authorization module. Customer shipping documents can not be generated until credit card approval is received or until approval is manually authorized. Customers with denied credit cards are automatically placed on order restriction.
COD: In an effort to control bad credit and reduce uncollectibles, an option is provided to place a customer in COD "Cash Only" status. The Order Marshal provides several effective management tools to track and control COD orders, such as tracing lost packages and outstanding COD order listings.
Shipping
The Order Marshal can provide multiple shipping documents for an unlimited number of shipping companies.
Shipping: The Order Marshal provides the ability to allow entry of an unlimited number of shipping companies, including their shipping rates, zones, weights, and additional charges. The UPS shipping manifest is comprised of all orders designated for shipment. Orders designated to ship, but not ready to ship, may be excluded from the manifest on an exception basis.
The shipping document can easily be customized for your particular shipping document requirements.
Customer Service
The Order Marshal is designed with customer satisfaction in mind.
Inquiries: Access to all customer and order information is instant and complete using The Order Marshal. Order history provides comprehensive information about products ordered, pricing, method of payment, shipping information, etc. In order to enhance the customer service function, the history of orders remain accessible within a variable retention period, defined by you.
The system provides you with the ability to treat each customer individually by allowing the entry of comments. Comments can be unique to the customer or to the customer’s order.
Order changes: Orders can be modified anytime prior to producing, shipping documents. Incomplete and held orders are not processed,
but appear on an exception report for additional attention.
Returns and refunds: Refunds to the customer are easily handled by The Order Marshal. Refunds can be initiated by automatic check generation or by crediting the customer credit card through the optional Credit Card Authorization module. The Order Marshal prevents refunding for products that must first be returned. Reason for refunds/returns are captured in the order file by a "user defined" refund and return code. Comprehensive summary reports provide you with information necessary to react in a timely manner to a potential problem.
Form letters: Custom letter generation enhances and clarifies communication between your customer and your company. In conjunction with IBM’s Office Vision/400 software, you can create as many letters as necessary to meet your needs.
You can easily personalize your letters by automatically merging information specific to each customer with a selected form letter. This customer service feature is available during order entry, inquiry, and through any other options where there may be a need for customer correspondence.
Marketing Support
The Order Marshal enables you to clearly define your target market.
Source tracking: In order to easily determine the effectiveness of various marketing campaigns, an area is provided in order entry to document how or where the customer was informed of your company. Advertisement, catalogs, mailers, and trade shows can easily be tracked for effectiveness via the source code. Informative reports provide you with the results of your marketing efforts.
Mailing Labels: To facilitate sales and marketing in their efforts to reach the customer, you can request mailing labels by product ordered or an order date.
Pricing: Flexible pricing, using effective dates, for products and shipping & handling enhances the control and impact of your promotional programs.
Reports
The Order Marshal enhances your decision making ability by providing precise reporting.
Reporting: The Order Marshal provides you with numerous analytical management and marketing reports necessary to recognize important trends and provide control. Utilizing IBM Query/400 software on your AS/400 computer, you can easily access files from The Order Marshal to create your own custom reports.
Operational Features
The Order Marshal is easy to install and operate and requires limited computer expertise.
On-line help: In order to expedite the order entry process, pop-up windows are available throughout the system. For instance, if a salesperson is unfamiliar with your company’s shipping codes, he or she can press a function key to access available shipping codes. Selecting one of the codes in the window will automatically update the order entry screen with the selection.
System Controls: The Order Marshal has been designed in order to insure a flexible and effective system that will easily be able to grow as your company expands. User defined control files allow changing business environment warrants.
Custom Interfaces can be easily created to your existing databases. The user will not ever know that they have left The Order Marshal system. Custom Programs can be added on to The Order Marshal for additional functionality within your existing systems.
